Details of Monthly Workup

INSTRUCTIONS FOR PRODUCING A NEW MONTH's BOXED LADDER

Let "Prev" = month just completed, e.g. August, to be worked up.
Let "Next" = month to be begun.

1. Workup of previous month.  Computations use computer program.
   1. Create a new directory for "Next" month.
   2. Copy the ranks from the beginning of Prev to the new folder.  If it was named "Prev_ranks_1.txt" (calc_05_08_01_ranks_1.txt),
      drop the "_1".
   3. Copy the command file from Prev to the new folder and rename it.   (calc_05_08_01_cmd.txt to calc_05_09_01_cmd.txt).
   4. Copy the Excel Results sheet for Prev into a new text file, calc_Prev_boxResults.txt, e.g. calc_05_08_boxResults.txt.
   5. Edit the command file, updating it to the current month.
   6. Copy the .exe to the current folder, or set the application's working directory to the NEXT folder.
   7. When running the application, the one & only argument should be NEXT, e.g. "05_09_01" (or just "05_09").
2. Initialization of new month's spreadsheet.
   1. Clone the previous month's spreadsheet to the new.  Copy current scores to Last Month's scores tab.
   2. Copy the contents of the output file "calc_NEXT_ranks_n_deriv.txt" and paste into the spreadsheet's "Numeric Workup" sheet.
   3. Copy the contents of the output file "calc_NEXT_ranks_n.txt" and paste into the left column of the spreadsheet's "Additions & Subtractions" sheet.
   4. Also paste into the next column ("Full Roster, Alphabetic, with Membership Changes for NEXT).  Sort by name.
3. Updating new month's spreadsheet.
   1. Sort e-mails into:  Join, Drop, Continue.
   2. Create columns for Continuing, Joining and Dropping.  Put an X in the appropriate column based on e-mails and on whether they played the requisite number of matches for the previous month.
   3. Fill in the green (addition) and red (subtraction) summaries at the top of the page.
   4. Copy the "Continue" and "Join" rows to a new column to right.
   5. Copy this column to right, closing empty rows.
   6. Copy this column and resort by rank.
4. Send e-mail announcing this tentative ladder.
5. Absorb responses.
6. Recompute columns.
7. Construct Boxes on spreadsheet with colors.  Optionally, include contact information on each line.
8. Compile e-mail address list.
   1. Copy column of players' names into blank worksheet.
   2. Alphabetize
   3. Enter e-mails into distribution list.
9. Publish results.
